Before you start
You need: your business details, your ABN if you have one, and a rough idea of your rates. You do not need a credit card — the trial is 14 days and we do not ask for one.
1. Sign up
Five fields and a tick box. We show you your workspace address as you type your business name — cockatoomind.com/yourname/ — and you can change it before you commit. It is permanent. It becomes the address of every quote link you send, so pick the name your customers know you by.
Check your email and click the link. Nothing is built until you do. An unverified sign-up holds the address only until its link expires (24 hours); if you do not confirm, the address is free again.
2. Set your password
The link takes you to your own workspace to choose a password. We never see it — it is set on your workspace and stored there as a hash, not in any central account list.
Ten characters minimum. Use a passphrase; three unrelated words beat "Winter2026!" by a distance.
3. The setup steps (five, resumable)
After setting your password, open the Console and press Get started on the dashboard (your welcome email links straight to it). You can leave it and come back — it remembers where you were.
Company and branding. Name, ABN, phone, email, logo, accent colour. This is what your customers see on every quote and every email, so it is worth five minutes.
Pricing basics. GST inclusive or exclusive, rounding, and your base rates per product type. There are placeholder Australian rates to start from but they are not your numbers — a quote priced from someone else's rates is worse than no quote. Two ways to work:
- Margin mode — set a rate per square metre and a margin. Simpler.
- Cost of production — enter what a job actually costs you (aluminium, glass, hardware, labour) and a margin on top. More setup, much better visibility.
You can switch later; nothing is lost.
Glass and colour. Tick what you actually offer. Everything you leave off stops cluttering the quote screen for the rest of the year.
Invite your team. By email. Two roles:
- Admin sees every quote and every setting.
- Sales sees only their own quotes. That is enforced on the server, not just hidden in the interface.
Each person gets their own login. Please do not share one — the activity log is only worth having if a name means a person.
Your first quote. The last step opens a new one.
4. Quoting
Create a quote, add the openings, and price it:
- Openings. Type, width, height, quantity, glass, colour. The drawings are generated from real extrusion data, so what your customer sees is what you would fabricate.
- Auto Price. The server prices it — always the server. An on-screen estimate while you type is a convenience, never the number on the quote.
- PDF and public link. The link opens on any phone with no login. Your customer can read it, ask a question, and accept it.
- Acceptance. They accept online. If you have connected your own Stripe account (Console → Settings → Stripe Payments) they can pay a deposit at the same time; the money goes to you, not through us.
5. The apps
A companion phone app for measuring, photographing and sketching on site is on its way. It signs in with the same email and password and reads the same quotes; we will email you when it is in the stores. Until then the web workspace works on a phone.
6. Things worth knowing on day one
Your data is yours and you can take it. Console → Data gives you a complete archive that restores into a standalone installation of the underlying software. Not a CSV summary — the whole thing. We think being easy to leave is part of being worth staying with.
The trial ends; the workspace does not vanish that day. At the end of the trial the workspace becomes read-only until you subscribe: every quote is still there, you can still read and export everything, and quotes you already sent can still be opened and accepted by your customers. It stays read-only for 30 days, is then suspended for 30 days, is then closed, and 30 days after that its data is deleted — the exact clocks are in the terms of service. Subscribing at any point before deletion restores full access with nothing lost.
Allowances. Each plan includes a monthly amount of AI actions, size-from-photo estimates, SMS and storage. Console → Account shows where you are. They reset on the first of the month, Sydney time.
AI is optional, and it leaves the country. The AI features send text — and, for size-from-photo, the image — to a provider outside Australia. Every AI feature is something you choose to run; nothing runs it for you. AI is included or excluded by plan, and if you do not want it in your workspace at all, ask support and we will switch it off for you.
We cannot read your quotes casually. If you ask us for help and we need to look, we open a support session: you are emailed when it is opened, and everything we do lands in your own activity log against the operator's name.
7. When something looks wrong
Console → Health is the first place to look. It checks PDF rendering, the email queue, SMS, scheduled tasks and storage, and tells you which is unhappy.
Console → Activity is the second: every email, every SMS, every quote view, in one list. "Did they get it?" is usually answered here.
Then email [email protected] with the workspace name and roughly when it happened. Our end keeps a detailed log against the exact request, so a time and a quote number is usually enough to find it.
